Duties of the Advisory Board

President

  • The president for the 2010-2011 academic year is EricDunlap

The duties of the CocPresident shall be to

  1. Lead weekly meetings, or delegate the leadership to another member.
  2. Hold a club key, and be available as appropriate to issue gear and do business.
  3. Promote trips and work sessions being led. Encourage membership participation in trips and work sessions.
  4. Sign contracts for the club. Check the club mail box and respond to notes.
  5. Coordinate club business, including elections and introductory meetings in fall and spring. Advertise and attract new members to introductory and other meetings.
  6. Role model safe practices, following club policies, participate in trips, work sessions, and leadership. Keep club unity.
  7. Oversee the duties of other club officers and chairs, and follow up with them when something needs to be done. Make final decisions when needed.
  8. Maintain trip reports and summarize them as deemed necessary for the club and/or other constituents.
  9. Orient the successor to these duties.

Vice President

  • The vice-president for the 2010-2011 academic year is AlexWilson

The duties of the CocVicePresident shall be to

  1. Attend meetings of the club, advisory board, and executive committee.
  2. Conduct meetings in the president's absence.
  3. Maintain the membership list (MembershipRoster).
  4. Hold a club key, and be available as appropriate to issue gear and do business.
  5. At meetings, if the secretary is absent, make sure someone is taking minutes and posting them.
  6. Check with people that inventories are being done, via the facilities manager and chairs.
  7. Track initiatives as they happen, and facilitate their completion. Be an understudy for all general tasks of the club officers and chairs, and check up with them.
  8. Facilitate effective communication between/ among chairs, officers, & members.
  9. Work on group problem solving with others.
  10. Assist with all major processes, such as elections, amendments, and funding.
  11. Orient successor to these duties.

Secretary

  • The secretary for the 2010-2011 academic year is CarolynPayne

The duties of the CocSecretary shall be to

  1. Take minutes at meetings of the club and its leadership, including trip announcement, club business announcements, and decisions made.
  2. Each week, post minutes electronically to the electronic mailing list (outdoor-l@cornelloutingclub.org). Respond to inquiries made to the mailing list. Post reminders about how to subscribe and unsubscribe.
  3. Each week, post minutes physically on the door of Japes, on the COE bulletin board, and in the showcase in Willard Straight (stairwell below the Ivy room).
  4. Maintain (or delegate maintenance of) the World Wide Web Pages.
  5. Maintain the club's information ClubPamphlet
  6. Hold a club key, and be available as appropriate to issue gear and do business.
  7. Orient successor to these duties.

Treasurer

  • The treasurer for the 2010-2011 academic year is KressWeitzel

The duties of the CocTreasurer shall be to

  1. Maintain the club membership list. Collect dues from new and continuing members.
  2. Submit budget request for the club to the SAFC. To this end, collect inventories and budget requests from each activity chair.
  3. Coordinate the purchase of gear in terms of tax exempt forms, reimbursement, etc.
  4. Keep a set of books for the club and present a summary of club finances annually or upon request of the advisory board.
  5. Maintain records of the TC Trust bank account, holding dues. Maintain records of the SAFC account, holding gear-alloted money.
  6. Maintain gear purchase notebook and keep track of what new gear enters the club.
  7. Hold a club key, and be available as appropriate to issue gear and do business.
  8. Orient successor to these duties.

Advisor

The duties of the CocAdvisor shall be to

  1. Serve as a sounding board to the members and officers/chairs.
  2. Support the group. Facilitate conflict resolution. Help deal with crisis as they arise. Give honest feedback.
  3. Serve as a liaison to Cornell agencies, when needed.
  4. Represent the club to Cornell and outside agencies. Keep contracts (such as East Shore Sailing), official papers, and constitution.
  5. Provide long term continuity, guidance, and stability.
  6. Advise group on constitutionally directed procedures and policies.

Activity Chairs

The duties of the Activity Chairs (Currently Backpacking, Biking, Boating, Caving, Climbing, Winter Sports, Gorge Clean-up, Library)

  1. with regards to Trips shall be to
    • Advise trip leaders, and make sure trip leaders know their responsibilities in safety, administration, and leadership
    • Encourage people to lead trips, within their capabilities
    • Role model safety in your activity
    • Check on the trip reports file and remind other trip leaders to file their trip reports
  2. with regards to Equipment shall be to
    • Maintain equipment inventory, and submit a copy of it once per semester or as requested by the executive committee
    • Check the sign out sheets once per month for comments or needs
    • Make occasional checks of critical equipment, and mark faulty equipment as such, or destroy equipment when needed
    • Maintain the working condition of equipment through work sessions or other methods
    • Create the budget requests as required by the Treasurer
    • Purchase equipment according to budget alloted
  3. with regards to Leadership shall be to
    • Orient successor to the position
    • Attend advisory board meetings and participate in the group's initiatives
    • Hold a club key, and be available as appropriate to issue gear and do business.

The Responsibilities of particular activity chairs

  • specifically Biking, shall be to
    • Make sure that trip leaders know that trip participants must wear helmets
  • specifically Boating, shall be to
    • Maintain the rope across Beebe Lake
    • Make sure that trip leaders know that trip participants in kayaking must have done a wet exit before going on a trip
  • specifically Climbing, shall be to
    • Make checks of critical equipment such as ropes and harnesses, and destroy equipment when needed
  • specifically Gorge Clean Up, shall be to
    • Note that responsibilities under the second catagory above (Equipment) do not apply
    • Ensure compliance with the contract between COC and Cornell Plantations to clear the trails in Cascadilla and Fall Creek gorges
    • File reports of the clean-ups with Hal Martin of the Cornell Plantations
    • Maintain and keep inventory of the tools loaned to COC by the Plantations
  • specifically Library, shall be to
    • Note that responsibilities under the first catagory above (Trips) do not apply
    • Oversee sign out system. Follow up with people who need to return materials
    • Keep library up to date and recycle old materials

Facilities Manager

The duties of the CocFacilitiesManager shall be to

  1. Distribute keys, maintain key inventory and deposits.
  2. Ensure building and facility maintenance is accomplished through work sessions.
  3. Collect inventories from activity chairs upon the request of the executive committee, and spot check them.
  4. Make arrangements for proper and efficient storage of equipment.
  5. Track unreturned equipment through the sign out sheets and advise Vice President of it.
  6. Maintain tools in the work room and cleaning and office supplies.
  7. Submit budget for supplies upon the request of the treasurer and purchase supplies with budget alloted.
  8. Schedule advisory committee members for gear nights, as decided.
  9. Maintain gear sign out notebooks.
  10. Work with other chairs to provide a safe, fun, and well managed club house.

Education Chair

The duties of the CocEducationChair shall be to

  1. Assess interests and expertise of club members in educational topics relating to the activities of the club (hypothermia, water treatment, map reading, careers in outdoors, other outdoor organizations, etc.)
  2. Gather and maintain names and contacts of educational resources relating to the activities of the club.
  3. Set up seminars once per month, or as requested by the executive committee, that educate the membership on these topics.
  4. Implement the Statement on Safety form with new members.
  5. Educate membership on the club's organizational structure, activities, and policies.
